Entry Terms and Conditions
DEFINITIONS
“Conditions” means these terms and conditions of entry, governing all aspects of participation, including vehicle eligibility, conduct, registration and liability. “Event” refers to The Royal Automobile Club Concours held on the specified dates and at the specified location. “Entrant” refers to any individual who has registered and entered a vehicle, including owners, drivers and authorised representatives. “Attendee” refers to any individual attending this event without entering a vehicle, such as spectators, guests, sponsors and media. “Vehicle” refers to any motorised vehicle entered in this event, including cars, motorcycles etc. “Judges” refers to the panel responsible for evaluating vehicles and determining winners in the concours competition. “Organiser” refers to Royal Automobile Club employees and subcontracted individuals responsible for this event’s planning and execution, including any volunteer staff assisting with the event. “Venue” refers to The Royal
Automobile Club, Woodcote Park, including all external areas for access, transfers and display.
EVENT DATES AND LOCATION
The Royal Automobile Club Concours will take place on 8 July 2026 at The Royal Automobile Club, Woodcote Park, Epsom, Surrey, unless otherwise notified by the Organiser. The Organiser reserves the right to modify the Event’s schedule, date or location at its discretion. In the event of such changes, entrants will be notified as soon as possible. If the Event is rescheduled due to unforeseen circumstances (e.g., extreme weather, emergency situations), the Organiser will make reasonable efforts to provide a convenient alternative date and location. All entrants will be notified of such changes, and the Organiser will work to accommodate any special circumstances that may arise due to the rescheduling, vehicle display, judging and other Event functions or aspects.
ELIGIBILITY
Only vehicles that meet the specific eligibility criteria are allowed to participate. These criteria include but are not limited to vehicle type, model year and condition, as determined by the Organiser. The Organiser reserves the right to disqualify any entrant or vehicle that does not meet these criteria or that is deemed unsuitable for participation, either at the time of registration or during the Event itself.
REGISTRATION AND PARTICIPATION
All Entrants must complete the official registration form. This form must include full and accurate information, including but not limited to the entrant’s name, contact information, vehicle details, and any additional information requested by the Organiser. Registration will not be considered complete until all required information has been submitted. Incomplete or inaccurate registrations may result in delays, disqualification, or non-acceptance of the entrant’s entry. The Organiser reserves the right to reject any registration application, at its sole discretion, for any reason, including but not limited to concerns about vehicle eligibility, incomplete registration information, or entrant conduct. The vehicle must be legally registered for UK public road use or have a suitable permit (with documentary evidence available for inspection upon request by the Organiser), and must be in good working condition. The vehicle may only be driven by the owner(s) or a person nominated by the owner(s), who must be over 21 years of age and hold a valid, full driving licence. Individuals with a Learner’s Permit are not permitted to drive in the event. The entrant may not replace the vehicle with another without the prior written consent of the Organiser. Any request for vehicle substitution must be made in writing at least eight weeks before the event. The Organiser consent to substitution is entirely at its discretion.
VEHICLE REQUIREMENTS AND JUDGING
All vehicles entered into the Event must comply with the Event’s specific eligibility criteria, which will be provided to entrants upon registration. These criteria may include vehicle make, model, year, condition and authenticity, among other factors. The Event will feature a concours judging panel consisting of experienced automotive experts who will evaluate vehicles based on various criteria such as craftsmanship, originality, restoration quality, historical significance and overall presentation. Entrants understand and agree that the decision of the judging panel is final, and no disputes regarding scores, rankings or results will be entertained. The Organiser reserves the right to disqualify or remove any vehicle from the Event at any time if it is deemed to have violated the eligibility guidelines, posed a safety risk, or was found to have been tampered with or altered inappropriately after the submission of registration.
CODE OF CONDUCT
All Entrants, Attendees, volunteers and sponsors must adhere to a professional and respectful code of conduct throughout the Event. This includes, but is not limited to, refraining from disruptive behaviour, respecting the Event staff, fellow entrants and event attendees, and following all safety guidelines and Event protocols. Failure to comply with these instructions may result in immediate
removal from the Event or disqualification from future participation.
LIABILITY INSURANCE
Entrants are responsible for ensuring that their vehicles are fully insured for the duration of the Event. The Organiser and shall not be held liable for any injury, loss, damage or theft that may occur to Entrants, Attendees, vehicles, or personal property during the Event. Entrants enter and attend the Event at their own risk. Entrants agree to indemnify and hold harmless the Organiser from any claims, damages, or expenses that may arise from their participation in the Event, including any injuries or accidents involving their vehicle(s) or themselves.
CANCELLATION
In the event that The Royal Automobile Club Concours is cancelled or rescheduled due to circumstances beyond the control of the Organiser, such as adverse weather conditions, government restrictions, or other unforeseen events (e.g., natural disasters, pandemics), Entrants will be notified promptly of any changes to the schedule. The Organiser will not be liable for any travel or accommodation costs incurred by Entrants in the event of cancellation or rescheduling, and Entrants are encouraged to review their travel arrangements and insurance policies. To cancel any Event entry, the Organiser must be notified – in writing – at least seven days before the Event.
PHOTOGRAPHY AND MEDIA USAGE
By registering for the Event, Entrants and Attendees grant permission to the Organiser and its affiliates to capture photographs, video and other media of vehicles and individuals during the Event for promotional, marketing and educational purposes. These media may be used in various formats, including online, print, and social media platforms. If Entrants and Attendees do not wish to
be included in any media, they must notify the Organiser in writing prior to the Event start date. Entrants also grant the Organiser the right to use any images or footage of their vehicles for future marketing and advertising purposes, without compensation or further approval.
DATA PROTECTION
The Organiser is committed to protecting personal information. All personal data provided during the registration process will be handled in accordance with applicable data protection laws and will only be used for Event-related purposes, including communication regarding Event details, updates and results. Such data will not be shared with third parties without consent, except where required for the purposes of conducting the Event or as legally required. Entrants may request access to, correction of, or deletion of their personal data by contacting the Organiser directly.
AMENDMENTS TO THE TERMS & CONDITIONS
The Organiser reserves the right to modify or update these Terms & Conditions at any time. Any changes will be communicated to registered Entrants through the official Event website, via email, or by other means of contact.
